Refund and cancellation policy

This policy applies to professional engagements offered by Nettrailbase Co., Ltd., including Field Delivery Reporting Engagements, scorecard design, route reviews, and operations briefing workshops.

Eligibility

Refunds apply to fees paid directly to Nettrailbase for a confirmed engagement. Informational website browsing does not create a charge.

Timeframe

Cancel in writing to info@nettrailbase.click at least five business days before the agreed start date for a full refund of fees paid, minus any non-refundable deposit stated in your outline. Cancellations inside five business days may receive a partial refund of unused fees after deducting preparation already performed.

Full and partial refunds

If we cancel an engagement for reasons within our control, you may choose a full refund or a rescheduled date. If work has started—intake complete, drafts delivered, or a workshop facilitated—fees for completed stages are non-refundable; unused future stages may be refunded proportionally.

Non-refundable items

Non-refundable deposits (when specified in the outline), third-party venue costs already committed at your request, and printed materials ordered specifically for your workshop after written approval are not refundable once incurred.

Process and timing

Email info@nettrailbase.click with your engagement reference and reason. We confirm eligibility within five business days. Approved refunds are returned to the original payment method within fourteen business days where the payment provider allows.

Rescheduling and no-shows

One reschedule with at least three business days’ notice is usually available without fee. Workshop no-shows without notice forfeit the session fee. Field shadowing missed because sample logs were not supplied may be billed as a preparation day or rescheduled once.

Work already started and materials

Draft report packs and scorecard files delivered under the engagement remain subject to the licence in your contract even if later stages are cancelled. Client-supplied logs are returned or deleted on request after closure.
